The OVPL recognizes that schedule adjustments may occasionally become necessary throughout the season. To ensure fairness and minimize disruption to clubs, match officials, venues, and league operations, all Match Change Requests must follow the process outlined below.
Coordinate with Your Opponent

Submit the Match Change Request
Requests should be submitted as early as possible and no later than ten (10) days prior to the originally scheduled match whenever possible.
Await League Approval
Do not assume the match has been changed until the League has issued written approval.
When must Match Change Requests normally be submitted?
No later than 10 days before the originally scheduled match date.
Requests submitted fewer than ten (10) days before the scheduled match may be approved at the League's discretion and may be subject to cost recovery assessments based on the operational impact of the requested change.
Does submitting a Match Change Request automatically approve the change?
No. All requests remain subject to League review and approval.
What happens when a request is submitted within 72 hours of kickoff?
Match Change Requests submitted within seventy-two (72) hours of kickoff pose significant challenges for referee assignments, venue scheduling, travel arrangements, communications, and competition operations.
As a result, such requests will be considered only in exceptional circumstances and may be subject to substantial cost-recovery assessments and additional remedies as determined by the League.
What is the guideline for requests made less than 24 hours before kickoff?
Requests occurring less than twenty-four (24) hours prior to kickoff will generally not be approved.
The League will review the circumstances to determine whether the match should be rescheduled, forfeited, or otherwise resolved in accordance with League Rules and Regulations.
What factors may the League consider when determining a cost recovery assessment?
Administrative workload, competition impacts, referee scheduling, venue commitments, staffing, communications, travel, and other operational consequences.
Are cost recovery assessments disciplinary fines?
No. They are intended to recover expenses and operational losses caused by the late schedule change.
Cost Recovery Assessment Guidelines

Responsibility for Costs
The club that requests or causes a late match change, postponement, cancellation, or other disruption may be required to reimburse all reasonable and documented costs and losses incurred by affected parties as a result of the change.
In determining any assessment, the League may consider factors including, but not limited to:
1. Administrative workload;2. Competition impacts;3. Match official scheduling4. Venue and facility commitments;5. Staffing requirements;6. Communications efforts;7. Travel considerations; and8. Other operational consequences resulting from the requested change.
Competition Integrity
The OVPL reserves the right to deny any Match Change Request that may negatively impact:
1. Competition integrity;2. Player, coach, or spectator safety;3. Match official assignments;4. Venue availability;5. Club travel logistics;6. League scheduling operations; or7. Other factors deemed relevant by the League.
Cost Recovery and Additional Remedies
Cost recovery assessments are intended to restore expenses and operational losses resulting from a late schedule change. They are separate from and in addition to any remedies related to forfeits, no-shows, repeated non-compliance, failure to fulfill league obligations, or conduct detrimental to the League.
The League's determination regarding responsibility for costs and assessment amounts shall be final.
